CONFIDENTIALITY & IMPARTIALITY AGREEMENT
- Confidentiality -
1. Cropland Analytics is committed to protecting the confidentiality of its customers. It accords the highest importance to any customer’s confidential info and data. For this purpose, Cropland Analytics implemented the following:
i. Clients’ records are held as confidential documents. Access to these records is provided only by proper authorization.
ii. Confidentiality is a section on employee’s contracts. Any violation will result in immediate contract termination.
iii. Training is provided to staff regularly to reiterate the lab policies and guidelines including confidentiality.
The lab will not disclose confidential information to any third party, unless prior consent has been provided, from clients, customers and/or another related party. Confidential information refers to all technical and non-technical information, including documentation, samples, specifications, policies, procedures, operational and business privacy, customer data, findings and results/reports deriving from tests, methods, and formulas
- Impartiality -
Impartiality in Cropland Analytics is crucial to ensure the credibility, reliability, and integrity of the lab data and analysis results. This requires the maintenance of objectivity and independence in all lab activities and decisions. Cropland Analytics implemented the following in this regard:
1. The lab has a clear management structure to promote impartiality. Lab personnel have clearly defined roles and job responsibilities. The decision-making process is also clearly defined to prevent undue influence on the lab activities.
2. All staff members are required to disclose any conflict of interest that may interfere with the lab’s impartiality. They are all required to sign a form for that purpose. Any breach of contract will result in re-structuring job duties or terminating the contract.
3. Staff members are regularly provided with training about the importance of impartiality, integrity, professionalism, and the measures taken by the organization to handle any biased action.
4. Regular audit and management reviews are conducted to evaluate compliance with impartiality requirements and identify areas of improvement.
5. The quality management system includes policies and procedures aiming at maintaining impartiality and the quality and reliability of the analysis results.
6. The lab employs blinding techniques to minimize bias. This involves blinding to the identity of samples by giving them a number label and/or a barcode, to prevent preconceived notions from influencing results.
